Set-up Wednesday, 18th of September 11:30-13:30 only for sponsors confirmed to attend Hands-on session.

Set-up Thursday, 19th of September 07:30-10:30. For companies NOT confirmed attending Hands-on session.

Storage space:

You will be able to use the “Balcony” upstairs in the exhibition area to storage of boxes and material just before the conference and until 20th September before 17.00.

 

 

REGISTRATION FOR EXHIBITORS 

A special fee for exhibitors is available. Price DKK 1.400.- The fee includes Lunches and coffee breaks during the conference, badge, and conference documents. Please fill out the registration form under registration.​ 

BADGES: For security reasons only persons wearing the official badge will be allowed admission to the scientific session and the exhibition area.

COFFEE AND LUNCH BREAKS: Coffee and lunch breaks are included in the Registration Fee and will be served to delegates during the session breaks in the exhibition area.​ 

 

CONFERENCE DINNER:  19th of September 2024: 19:00: Congress dinner at Lautrup Park Hotel, Borupvang 2, 2750 Ballerup. DKK 650.- per person.

 

SPECIAL DIET – Let us know by responding this E-mail before 13 September

 

 

Please note that – It is ONLY allowed to enter the auditorium with spring water. No hot drinks or food Is allowed in auditorium.

 

The exhibitor shall be bound to comply with the regulations issued by Van Hauen Conferences, the exhibition architect, the fire authorities, the health authorities and any other public authority, and in other respects to comply with the "conditions, rules and regulations", a copy of which is submitted to every exhibitor.  The exhibitor shall be obliged to observe all time limits fixed regarding construction, stand arrangement, etc. The exhibitor shall be obliged to keep his stand open and manned during the official opening hours of the exhibition.  The exhibition building and material therein must not be damaged (by for example nails, screws, etc. in doors and walls. No inflammable decorations or exposed flames may be used at any time. All decoration materials of paper and inflammable fabric must be made fireproof. 

Removal of articles exhibited No exhibited article may be removed from the exhibitor stand until the exhibition is closed. 

 

Sales and publicity   

The exhibitor shall be obliged to observe the provisions fixed by Van Hauen Conferences and the authorities concerning sales, taking of orders, delivery of samples, etc. The placing or handing out of publicity material, samples, etc. outside the area of the stand is not permitted.  Samples, etc. may only be handed out by exhibitors or companies represented on stands and the like. The exhibitor must not from his stand promote companies, which are not notified and have not been recognized in writing as an exhibitor. Use of loudspeakers and exhibition film, Lantern slides, etc. may only take place upon previous permission obtained from Van Hauen Conferences and must never act as a nuisance to the surrounding stands. 

Transfer of space Exhibitors is not permitted to sublet their stand or lend it to a third party either in part or whole. No change in stands between exhibitors may take place without the written consent of Van Hauen Conferences. 

Responsibility The exhibitor shall be responsible for any damage done to the premises, fixtures or injury to persons caused by the exhibitor, his staff, or his exhibited articles and exhibition material. The exhibitor shall not be entitled to repair any damage himself.  Van Hauen Conferences is only responsible for fault or neglect on the part of Van Hauen Conference rates daily.

Parking

If you come by car, allow plenty of time to find a parking space.

Free parking but remember to put the P-Disc on. Parking is free on the hospital grounds.

The hospital has several electric charging stations that patients and visitors can use.

• Two charging stations from E.ON in the P-House (P9)

• -Four charging stations at pillars M, N and O on P2. The charging stations are from Clever and

• A charging station from Clever on the outside of the hospital on the corner of Turkisvej and Hjortespingvej (50kw)

• 15 charging stands from Spirii on P7

• Six charging stands on the P4.
